Job Summary:

The Executive Assistant (EA) position will serve as a point of contact for key members of the Growth Executive Team, by offering administrative and operational support services in a Native American Tribally owned company located in Dayton, OH. This role requires frequent communication and interaction with senior-level Executives, Directors, and external collaborators and contacts to assist with corporate objectives.

Job Duties and Responsibilities:

  • Manage executive’s calendar, including making appointments and prioritizing sensitive matters
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Coordinate travel arrangements & event planning
  • Manage office supplies inventory and place orders as required
  • Assist executive leadership in tracking key operational metrics by organizing and compiling data, researching facts, and coordinating information retrieval
  • Provide planning for status meetings, creating PowerPoint presentations, coordinating monthly reporting, use of Excel spreadsheets for display and discussion
  • Prepare, reconcile, and submit expense reports
  • Plan and coordinate in-person\virtual meetings, required program reviews, and coordinate leadership attendance at off-site conferences and trade shows
  • Draft, review and edit all correspondence such as e-mails, memos, and communications on the executive’s behalf
  • Routinely perform a wide variety of support duties to be defined
  • Other duties as assigned. 

Job Requirements (Education/Skills/Experience):

  • Ability to show and demonstrate professionalism, poise, and flexibility on a consistent basis initiative
  • Ability to work within an environment of frequent interruptions, conflicting priorities, and varying workloads
  • Strong prioritization skills; demonstrated history of successfully managing multiple concurrent initiatives
  • Ability to maintain strict confidentiality in all aspects of services provided
  • Advanced experience in in Microsoft Windows operating systems and Microsoft Office applications including Microsoft Word, PowerPoint, Excel, and Outlook
  • Effective leader/participant in formal presentations to internal clients and stakeholders

Qualifications:

  • 10+ years of experience supporting administrative functions at an executive level
  • 5+ Years working in Government Contracting
  • A./B.S. degree from an accredited college or university
  • Ability to travel (anticipated to be 5% or less)
  • Must be able to pass a standard background with ability to obtain a Public Trust clearance
