Job Summary:

We are seeking a dynamic, proactive, and energetic Executive Assistant who thrives in a fast-paced environment, is detail-oriented, and can build trusted relationships with executives and the EA team. The successful candidate will be a problem-solver with exceptional judgment, a forward thinker who anticipates needs, and someone eager to leverage both experience and technology to drive efficiency and excellence. This individual must also be a collaborative team player, willing to step in to assist other Executive Assistants and departments when needed to ensure seamless company-wide support. 

 

The Executive Assistant (EA) will provide high-level administrative and operational support to the Executive Vice President of Business Enablement and four subsidiary Presidents of a Native American Tribally owned company. This in-office role is based in Dayton, Ohio, and reports directly to the Senior Executive Assistant. 
 
The EA will serve as a trusted partner for leadership, requiring strong organizational, communication, and coordination skills. The ideal candidate is experienced, energetic, detail-oriented, and highly professional, with proven success supporting executive leadership in a government contracting environment. 

Job Duties and Responsibilities:

  • Manage complex executive calendars, including scheduling, prioritizing sensitive matters, and resolving conflicts across multiple leaders. 
  • Organize and coordinate meetings and events, including scheduling, reminders, logistics, and catering. 
  • Coordinate executive travel arrangements. 
  • Prepare, reconcile, and submit expense reports accurately and promptly. 
  • Plan and coordinate in-person and virtual meetings, program reviews, and leadership attendance at off-site conferences and trade shows. 
  • Draft, review, and edit correspondence (emails, memos, reports) on behalf of executives. 
  • Track key metrics by compiling data, conducting research, and coordinating information retrieval. 
  • Assist in preparing presentations, reports, and other briefing materials for executive-level meetings. 
  • Maintain strict confidentiality at all times, acting as a trusted partner to executive leadership. 
  • Collaborate with other EAs, facilities, security, and internal departments, providing backup support when colleagues are out of the office and/or assistance when workloads are high. 
  • Routinely perform a wide variety of high-level administrative and support duties as assigned. 

 

Job Requirements (Education/Skills/Experience):

**Applicants must be authorized to work in the United States without the need for current or future visa sponsorship.**

  • Minimum 10+ years of experience providing executive-level administrative support across multiple leaders. 
  • 2+ years of direct experience in government contracting support (required). 
  • Bachelor’s degree from an accredited college or university preferred; comparable work experience will be considered. 
  • Advanced proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook). SharePoint experience is a plus. 
  • Excellent organizational, written, and verbal communication skills. 
  • Strong interpersonal skills with the ability to demonstrate professionalism, poise, and flexibility. 
  • Demonstrated ability to prioritize, juggle competing demands, and manage multiple concurrent initiatives. 
  • Effective communication skills and ability to engage stakeholders at all levels. 
  • Familiarity with AI tools and willingness to integrate AI into daily routines and task management to maintain and improve efficiency. 
  • Must be available to work onsite in Dayton, OH, with flexibility to report before or after hours as needed during events or to support business needs. Early or late onsite requirements are occasional and primarily tied to business events, with consideration given to work-life balance. 
  • Ability to travel occasionally (anticipated at 5% or less). 
  • Must be able to pass a standard background check.
